POLICE DEPARTMENT BUILDING HVAC STANDBY POWER UPGRADES

General
The Police Department Building for the City of Clermont (City) currently has six indoor air handling
units and six corresponding outdoor condensing units to serve the air conditioning needs for the entire
building. Only two of the six air handlers and two of the six condensing units are connected to the
existing 80 KW generator, along with emergency lighting and other critical loads that require power
during normal utility power service outages. The City desires to add at minimum one additional air
handler/condensing unit combination and at maximum all four remaining air handler/condensing unit
• combinations to the generator for standby power.
The following presents the specific tasks that will be performed as part of this Task Order. Because of
the nature of this work, certain assumptions have been made in preparing this Task Order. To the extent
possible, these assumptions are stated herein and are reflected in the budget for services. If the work
tasks required are different from the assumptions presented herein or if the City desires additional
services, the resultant changes in scope and budget will serve as a basis for modifying this Task Order as
agreed to by both the City and Boyle.
Boyle's Scope of Services
Boyle's scope of services for design of the project includes the following:
Preliminary Electrical Design Services -Task Group 1.0
Boyle will review the existing electrical record drawings for the facility and will perform calculations to
determine the amount of available capacity the existing generator has to accept additional loading. Boyle
will determine if any and how many existing air handling units and condensing units can be added to the
generator. Boyle will recommend a generator size large enough to run all of the facility HVAC loads if
the existing generator is undersized to do so. Boyle will present the results and various alternatives to the
City in a letter, along with a preliminary opinion of probable cost for each alternative.

Final Electrical Design Services
Final electrical design services are not included in this task order. Once the City makes a final decision
in writing on which alternative presented in Task Group 1.0 to proceed with, an amendment to this task
order will be prepared, after which Boyle will prepare electrical drawings and electrical specifications
detailing the work required to upgrade the HVAC system standby power.
Bidding Phase Services
Bidding phase services are not included in this task order. If requested by the City, Boyle will provide
bidding phase services on a time and material basis in accordance with the Agreement.
Construction Phase Services
Construction phase services are not included in this task order. If requested by the City, Boyle will
provide construction phase services on a time and material basis in accordance with the Agreement.
Services Not Included
The following services are not included in this Task Order:
1. HVAC system cooling or heating calculations.
• 2. Addition of non-HVAC loads to the generator.
3. Final Design services.
4. Bidding phase services.
5. Construction phase services.
City's Responsibilities
The City shall be responsible for providing the following in a timely manner so Boyle can complete its
work and not delay the performance of services.
1. Designate the City Engineer, or their designated agent, to act as City's representative with respect
to the services to be rendered under this Agreement. The City Engineer or their agent shall have
complete authority to transmit instruction, receive information, and interpret and define City's
policies and decisions with respect to Boyle's services for this Project.
2. Provide Boyle with record drawings of the existing facility.
3. Promptly review, comment on, and return Boyle's submittals. Provide written confirmation of
the City's chosen alternative from Boyle's preliminary design letter.

4. All information provided to Boyle by the City, and others retained by the City, shall be used
without verification.
• 5. Promptly advise Boyle when the City becomes aware of any defect, deficiency, or changed
condition.
6. Provide other such services and assistance as needed to expedite and complete this Project.
Deliverables (BOYLE)
Boyle will provide the City the following deliverables:
Two copies of the preliminary design letter.
Period Of Service
The schedule will commence when all the requested data have been received by Boyle. The preliminary
design letter will be submitted within 14 days of a notice to proceed.
Compensation
Boyle shall be paid in accordance with Section 3 of the Agreement. A budget showing the estimated
number of hours and other project fees for the tasks described within the Task Order is presented in the
Project Budget. These budgeted amounts were used to determine the lump sum of $1,748 for Task
. Groups of the project.
Authorization
This Task Order serves as an Exhibit to the Consultant Agreement dated August 12, 2003, between the
City of Clermont and Boyle Engineering Corporation, and is hereby incorporated into this Task Order by
reference.
